Map the current process

Redesign the workflow

Agree the information needed at each stage, approval responsibilities and a route for exceptions. Review duplicate steps and unnecessary requests for information. Document the future process so affected teams can review it before implementation.

Implement automation and connections

Automate agreed steps and connect existing tools where suitable interfaces are available. Add validation, notifications and exception handling. Consider AI assistance only where the task and review arrangements support its use.

Measure and support adoption

Compare the changed process with the starting measures, such as completion time, manual handling and correction rates. Work through issues with users and prepare guidance for the people responsible for maintaining the workflow.

Will we have to replace our current software?
